Coming up on the Tue. – Wed. after Spring Break I’ll be hosting a Web workshop/seminar. The purpose of this event is to help students understand more about how certain services on the Web work, and to go over the kinds of things you’ll encounter in the work force. We will be in SWAN 218/220 both nights from 6:30 until we run out of things to discuss. Below is a list of topics that are likely to be covered.

• Cloud Computing

• Google Apps and similar services

• VPNs

• E-Mail forwarding and account linking

• How to use the GAA site

This list is subject to change, and if you would like anything else to be covered please contact me. The same material will be covered both nights, so it’s not necessary to attend both, but I strongly suggest you come to at least one of them.

As a heads up for tomorrow’s meeting I wanted to make sure everyone got a copy of the revised Constitution and Bylaws. The E-Board and C-Board met on the 29th of October to update the Constitution so that it is more relevant and easier to understand with some of the changes that have happened in the GAA over the last few years.

As per our rules, the changes cannot be made official until they are presented to the general assembly and passed by majority vote. We will be holding a vote to approve the document as it is written in this PDF tomorrow, and if you have any questions, changes, or complaints that will be your time to voice them.

You can view the updated document HERE

Let’s take a moment to talk about a wonderful little service called Dropbox. A few years ago there was a new buzz word, “Cloud Computing,” but not many people understood what it was about. Most often cloud computing refers to utilizing off site hardware to run software rather than using your own computer. This allows you to run very demanding programs that would otherwise be too much to run on your computer. On the lighter end of it, working “in the cloud” is a great way to handle data storage across multiple computers.

Dropbox is an automated service that synchronizes data from your computer to a centralized location for retrieval from other computers. If you sign up for their free service you get 2 GB of storage, version tracking, and sharing with friends. If you choose to pay for the service you can get 50 GB for $9.99/mo or $99.00/yr, or 100 GB for $19.99/mo or $199.00/yr. So what do you do with all that space?

If you’re like me and you have multiple computers you’ve probably come across the problem of looking for something on one device, when it’s only on the other. This can be quite a problem if you’re looking for class work on a laptop, but you find you’ve left it on your desktop. This is where Dropbox comes in. With a Dropbox account you can download a client that will run on your computers, and automatically share a folder of your choosing. This folder is then copied to the Dropbox servers and made available through the Dropbox website when you log in.

Once the files are uploaded, they are able to be downloaded on your other devices as soon as they are connected to the Internet. There’s no need to drag files, use an external hard drive, or connect your computers together to sync using Dropbox; it’s automatic, efficient, and easy to understand. Yes you could set up one of the many backup or synchronizing softwares available to the public, but those require that the computers are on the same network, powered up, and ready to transfer data.

I have a basic account, which gives me 2 GB of space, and piece of mind with the version tracking and deleted file recovery features. All of my school work for the current semester is stored in my shared folder so that I don’t ever have to worry about copying files between my computers before classes. In the unlikely event that I forget to take my laptop to class to have a file available, I can always log in to the website and download the files from there to work on, and then upload them when i’m done. Likewise, if I delete a file accidentally and it gets synched to the servers, there is a feature on the website that allows you to find and restore it to your shared folder, and it will re-download on your computers next time they connect.

The other amazing feature that comes with all account types is the ability to share files in your folder with other users. If you have a group project you’re working on for a class, and you can’t find time to get together to work on it, you can use Dropbox to collaborate with your partners so that all the files are available to everyone, all the time. It’s the utility of a private server, without the hassle of setting it up and maintaining it.

The Dropbox app takes very little memory and CPU to run, and it sits quietly in your menu bar to let you know you’re connected and synched. There is also the added option of tying the notification software, Growl, into Dropbox so that you can get a popup letting you know when shared files are updated. This is a wonderful addition when you’re using a folder to share files for a group project.

I strongly recommend Dropbox to anyone who has multiple computers, or even if they just want to have a no hassle backup system for some important files. The ability to access files that would otherwise be inaccessible while off campus or even in class is extremely helpful and in some cases, can save your grades.

If you want to bring drinks or snacks you can; we just ask that you not make a mess during the evening. We will be starting promptly at six by getting people set up with personalized profiles that can be used throughout the year for any other gaming events we host, so if you’re not there on time you’ll have to deal with default settings.

Welcome to my little corner of the website! I plan on using this column to share my knowledge with you in an effort to enrich your experience here at Ferris. I want everyone to be able to go on to successful careers in printing, and my goal here is to expand your abilities to make you a more desirable person when you enter the job market.

Some of you may ask why I would be willing to share this type of information with you, and it’s a perfectly reasonable question. Why would anyone want to improve their competition, rather than trying to gain as much ground as possible? I guess it’s kind of a personality flaw that makes me bad at cut throat business. I would rather blend in with a group of excellent people, than rise above a group of failures. To that end, I want to use whatever I have at my disposal to make you the best that you can possibly be at all things print.

I spent nearly three years working in a company full of people stuck a decade in the past, and I saw what it did to the business. In an industry that rapidly changes you need to be changing just as fast. Keeping yourself on the edge of technology, and constantly honing your skills will be a major factor in securing a career in printing.

It’s my hope that by the time you leave this program you will be running at the same speed as the industry, so that when you jump in you don’t get left in the dust. I will be doing my best to make sure you are.

*The above is the writer’s opinion and does not necessarily represent the views of the GAA*

I know that many GAA members opt to use e-mail applications rather than accessing the Gmail interface through the web browser. The major downside to using an application is the lack of auto-fill for addresses within the GAA’s domain. To help alleviate this irritation I have compiled a list of all the e-mails in our domain that can be easily loaded onto your computer.

The file is known as a VCard, and it contains the basic contact information for all of the GAA members/accounts. Currently the file is located on the GAA server under the Action committee’s folder. In the future this file will be hosted on the site and easily downloaded by members. For the time being though, you will need to either log onto the server, or contact me for a copy of it.

Using the file will vary based on your operating system, and the software used. On a computer running OS X it is a simple matter of opening the file and importing the contents to your Address Book application. It will be accesable in all applications that can pull from your address book.

I’m not sure on how to do it on a Windows computer so good luck to all you PC users out there. If someone would fill me in I will gladly update this post to reflect it.

As always, if there are any issues feel free to contact me.

I’ve been working on providing a Facebook updating method that is a little faster than what I came up with on Monday. Right now I’m trying out a nice FB App called “RSS Graffiti” that will take the RSS feed from the website and post it as shared links on our Facebook page. All of the posts that get made from now on should have a link to them both on the Facebook fan page, and on our Twitter stream. If you experience a problem with this please let me know ASAP so that I can try and correct the problem. This feature should be carrying over to the new design that is coming soon, so any kinks should be worked out before then.

Once again, sorry for any excessive alerts/updates/tweets you may have received today.

If you haven’t already noticed, there are a couple changes going on with the site, and the GAA in general. I’ve added a new tab on the top navigation bar that will have all of the minutes from our various meetings. The side bar has two new links as well. One if for the digital version of our GAA handbook for new members, and the other is a link to our weekly agenda for our general meetings.

We have lots of other great things planned to make the web site better, and to get more information out in the open for the public and our members. Brandon is working on changing the theme of the website around to be more like a site and less like a blog, and hopes to have it done by the end of the semester. And I will be working on assembling several documents on how to utilize all of our services to make it easier to stay in touch, and up to date, with the GAA
